With the recent and ongoing press coverage about staff shortages, and the current lack of availability of skilled resource, we speak to VenuePro’s CTO Arun LN to get his take on how VenuePro is set up to help venues and events overcome these operational challenges.

Q. Staff shortages are a real issue across the events and hospitality sector at present. How can VenuePro help to alleviate this problem?

Staff shortages are a tangible challenge that cannot be completely offset by any one software solution.  But technology can make a big difference in terms of managing the operational challenges by picking up some of the ‘slack’. 

Venues find it challenging to successfully deploy and manage staff because of the sheer number of staff required as a ratio to visitors and because of the degree of continuous monitoring required in different zones of the venue.   But with Venuepro’s focus on automation, productivity and efficiency the required staffing resource and effort per person is vastly reduced while output is increased.

Based on historical data, using data mining and analytics, our Recommendation engine and Decision support system provide Event Operators with key data which they can use to plan the staffing requirements for their events.  In addition our risk matrix also provides valuable information that also helps venue operators and event planners be better prepared for incidents that might occur during the planning or execution of an event.

All of these factors taken into account would thereby allow the venues to operate at maximum efficiency with reduced manpower.

Q. How does VenuePro make venues and events more efficient and allow them to reduce their dependence on human resource?

Other than analysing historical data, VenuePro provides the multiple teams in a Venue with a single platform on which they can collaborate. Our system is highly flexible and can be integrated into any existing environment.

Planning of events is much simpler with automation of process and the interdependencies of the environment can easily be adapted to Venuepro. Creating a unique work and process flow ensures there is minimal human error and thereby increases the overall efficiency of the team members.

Q. Can you provide examples as to how VenuePro can manage staffing resources before, during and after events?

Every member is held responsible for their tasks and can update the status of the tasks on web or mobile. At the same time, with the interdependencies created within the system, certain tasks could be updated only based on system actions performed, this ensures higher credibility. The system also analyses the employee performance which provides the organizers and operators with the information they require for future planning.

Actions or Delays of task execution relays the information to key individuals of the department or teams to ensure a seamless experience and a higher success rate.

For event day staff, a predictive model for estimating shortages based on your previous patterns help the teams proactively prepare and make alternatives early on. Q. Presumably there are also cost saving benefits to be had when using VenuePro. Can you provide examples of this?

Depending on multiple factors taken into account, there would be three types of cost saving; i.e Staffing, Direct and Indirect.

  • Staffing cost saving would arise from reduced man power for full time and event day staff.
  • Direct Cost Saving would arise from the reduced wastage of consumables and automation of process within the environment.
  • Indirect cost saving is the saving that would arise from access to live data and the reduction of the dependency on individuals to compile data sheets for analysis.
